Position Management

Purpose: To create a new staff position

When: Organizational changes have dictated the need for a new position.

Form Needed:Position Classification Questionnaire

Process Overview:

Step 1. Based on your understanding of the position's work, project if the desired position will be paid on an hourly basis or salary basis. Contact Human Resources with your questions.

Step 2. Complete the proper Position Classification Questionnaire form by completing the fields on the form. Be as detailed as possible when describing the job duties and responsibilities.

Step 3. Obtain the authorizing signatures. This can be accomplished by 1) emailing the PCQ form to the Dean, Vice Chancellor or Vice Provost for electronic approval or 2) an actual signature on the form and routed through campus mail. (Please note that all academic PCQs must go to Caprice Moore for approval prior to sending to HR)

Step 4. Attach an organizational chart of the department and/or unit in which the position is located.

Step 5. Route the forms, via e-mail (westarta@mst.edu) or campus mail to Human Resources.

Step 6. Classifications received will be processed in the order received.

Step 7. Once the position has been created, the department will receive email notification.

Step 8. After you receive email notification, the next step is to recruit for your open position. See staff acquisition for more information.

Additional Information: Sponsoring an H - 1B

Purpose: To reclassify an existing staff position.

When: Duties and responsibilities have changed significantly.

Timeframe: The timeframe to reclassify a position can take a few days to several weeks depending on the type of position.

Process Overview:

Step 1. Based on your understanding of the position's work, project if the desired position will be paid on an hourly basis or salary basis. Contact Human Resources with your questions.

Step 2. Complete the PCQ form. In the duties section list your major job duties. Be as descriptive of your duties as possible. It is helpful to phrase your duties in this manner.

Ex. To operate, maintain and repair computer equipment and to provide technical assistance to users.
Ex. Prepares monthly newsletters by gathering information, writing copy, editing, preparing for publication and overseeing distribution.
Ex. Performs inventory spot checks and monthly counts of supplies in warehouse.

Step 3. The employee signs the form then it is submitted to the supervisor for review and signature.

Step 4. Once the supervisor has signed the form it is submitted to the Director, Vice Chancellor or Vice Provost for signature. This can be accomplished by 1) emailing the PR form to the Vice Provost Academic Affairs, et al, for electronic approval or 2) an actual signature on the form and routed through campus mail.

Step 5. Attach an organizational chart.

Step 6. Route the forms and approvals via email (westarta@mst.edu) or campus mail to Human Resources.

Step 7. A job audit may be scheduled with the incumbent and the supervisor.

Step 8. Once a final determination regarding the classification has been made, email notification will be sent to the supervisor.
